Job Purpose

The Administrative Assistant II provides a range of administrative and clerical support to enhance operational efficiency within the regional office. This role involves handling reception duties, customer service, and meticulous record-keeping. The ideal candidate will deliver professional, courteous assistance to supervisors, colleagues, and the public, ensuring smooth day-to-day operations.

Essential Duties and Responsibilities

Key Responsibilities:

  • Communication Handling: Manage incoming calls by screening and routing callers, providing information, and taking detailed messages. Welcome and assist visitors to the office.
  • Document Management: Perform general administrative tasks including processing mail, typing documents, data entry, photocopying, and filing. Maintain up-to-date records and organized filing systems.
  • Meeting Coordination: Organize meeting spaces, prepare agendas, distribute materials, and record minutes during meetings to ensure accurate documentation and follow-up.
  • Resource Management: Order and manage office supplies, ensure maintenance of office equipment, and coordinate office maintenance issues.
  • Report Preparation: Compile and analyze reports on incidents and other relevant data to support informed decision-making.
  • Logistical Support: Handle the pick-up and delivery of mail and supplies as necessary.
  • Project Assistance: Provide support on special projects and other duties as assigned by the supervisor.

Supplemental Functions (may differ by region assignment):

  • Coordinate activities for the School Crossing Guard program, including liaison with schools and processing of guard applications.
  • Support legal processes by assisting with court notices and conducting expungements.
  • Manage database entries for pawn shop tickets and stolen vehicle checks.

Job Specifications and Qualifications

Knowledge:

  • Proficiency in various computer applications and operating systems.
  • Understanding of administrative and clerical processes.
  • Familiarity with record-keeping techniques.

Skills:

  • Strong written and verbal communication abilities.
  • Effective customer service skills, particularly in handling public inquiries.
  • Competency in minute taking and report generation.

Education/Experience:

  • High School diploma or equivalent; additional education or experience in administrative roles preferred.

Licensing and Certifications:

  • Valid South Carolina Driver’s License.

Working Conditions / Physical Requirements

  • Exerting up to 10 pounds of force occasionally, a negligible amount of force frequently, and/or constantly having to lift, carry, push, pull or otherwise move objects, including the human body.  Sedentary work involves sitting most of the time.        Jobs are sedentary if walking and standing are required only occasionally, and all other sedentary criteria are met.
  • Positions in this class typically require fingering, talking, hearing, seeing, grasping, standing, walking and repetitive motions.
